TERMS AND CONDITIONS

 

 

RESERVATION: To book a reservation with Ultimate Experience Abroad (UEA), please visit our website www.ultimateexperienceabroad.com or email us at info@ueatravel.com for more information. Making reservations for a trip package signifies your acceptance of UEA’s terms and conditions.

 

BOOKING REQUIREMENTS: Your reservation must be booked in the name as it appears on your government issued passport for international destination, or as it appears on your state issued ID for domestic travel. If a name changed is required after booking, you are responsible for any name change or date change fees imposed by the carrier/supplier. UEA will not cover these charges.

 

PRICES: All prices are subject to change, unless your reservation has been locked in with a non-refundable deposit. Prices are based on per person for either single, double or triple occupancy, as outlined in the trip description.

 

METHOD OF PAYMENTS: UEA invoices members and uses PayPal (Family & Friends) as the preferred method to process all payments. PayPal gives you the option to use the Family & Friends feature or a major credit card for payment.

  • Family & Friends is a free service that requires you to have a PayPal account that's linked to your bank account.

  • Paying with a major credit card will incur a fee every time a payment and transaction is processed through PayPal. This fee is to be incurred by our members and is non-refundable for any reason. In the event that UEA absorbs the fee, UEA has the right to recoup the fee through a portion of your payment.

 

DEPOSITS: A non-refundable and non-transferable deposit is required at time of booking to hold your reservation and lock in your rate. An RSVP on meetup does not reserve or lock in your rate. The deposit amount due is noted within each trip description.

 

MONTHLY PAYMENTS: If you choose our payment plan, monthly recurring payments are required to keep your reservation current. As a courtesy, UEA will send out monthly reminders of your payment date, but it is the responsibility of each person to keep up with their scheduled payment date and payments.

 

LATE PAYMENTS ON PAYMENT PLANS: Payments are due the 15th of every month. Failure to make a payment on the agreed upon date, will result in a late fee of $35. If payments are not received after 7 days, you will be considered in breach of contract. Breach of contract could result in the cancellation of your booking. UEA maintains the right to assign your spot to the next eligible member. All payments will be forfeited. 

 

REFUNDS: All payments to UEA are NON-REFUNDABLE and NON-TRANSFERABLE, unless a trip has been cancelled by UEA. If UEA cancels your trip, you will be refunded all payments minus any PayPal/Credit card fees assessed as a result of not using UEA’s preferred method of payment. 

 

PASSPORTS/VISAS: It is the responsibility of each traveler to obtain his or her passport and to ensure your passport is valid at the time of travel. The majority of countries require your passport to be valid 6 months from your expected return date. For example, if your return date from a trip is January 01, 2000, then your passport should be valid until June 01, 2000. If your passport expires before June 01, 2000, it is at your discretion and expense to have it renewed. UEA is not responsible for expired passport at the time of your travel or return date. It is also the responsibility of each traveler to obtain their Visas, if it is a requirement of the country for entry.

 

TRAVEL INSURANCE: When booking your trip there's an expectation that you are planning to go, but an unforeseen reason may cause you to cancel. This is why UEA offers Travel Insurance the moment you make your deposit, to help protect your investment. UEA has partnered with Allianz to offer travel insurance at the time of booking. Travel Insurance can protect Trip Cancellation, Trip Interruption, Lost Baggage, Delays, Medical Expenses, etc. 

 

TRAVEL DOCUMENTS: Once UEA has received full payment by the due date, you will receive your travel documents and your confirmed trip itinerary 30 days before departure with the exclusion of independent travel.

 

WHEELS UP: Two weeks before departure UEA will schedule a Wheels Up meeting and/or a free conference call for all those traveling. This meeting/call will go over all details of the trip itinerary and we will answer any questions you have about the trip. You will receive an email a week before the call with the phone number, CST call time and login access.

 

CHILDREN: Children must be 18+ to travel with UEA. However, we often plan trips during Spring Break and encourage you to bring your children ages 13-18. Children under the age of 18, must be accompanied by an adult at all times and must meet the guidelines when traveling out of the country, as outlined with Travel State Government. Link provided:

CANCELLATIONS: All cancellations must be submitted in writing via email to info@ueatravel.com. We will provide any necessary travel documents and payment schedule to assist with filing a claim with your Travel Insurance company when applicable.

 

TOUR CANCELLATION: Group trips and rates are based on the participation of 20+ members in order for a trip to remain on our calendar of events. If a posted trip doesn't meet the required number of participants, it will be removed from the calendar. We suggest members not to schedule their flights until a trip has been confirmed.

REPLACEMENTS: It is the responsibility of the person traveling to find a replacement, if unable to travel. It is also your responsibility to recoup any monies you've paid towards your trip from your replacement. In the event your trip has already been ticketed by our selected airline carrier, we will not be able to change the name on the ticket. Your replacement will have to purchase their own airline ticket.

 

By purchasing a trip from UEA, you acknowledge and are aware that the trip details are subject to change. The itinerary was curated in good faith and any mention of specific destinations does not guarantee that they will be visited nor does it forfeit the contract between the member and UEA. Our itineraries are carefully crafted for enjoyment and safety, however we may deem it fit to make adjustments that stem from weather changes, political affairs, local concerns and federal sanctions. Our number one goal is your safety and providing an ultimate experience abroad. You also acknowledge and agree that there are inherent risks associated with any excursions and activities in which you choose to partake. Therefore, you understand, agree and assume full responsibility for such risks.
